Lesson 1: Word 2000 (Part 1)

Working with Documents

Let’s begin using Word 2000.

To open Word 2000:

  • Click on Start – Programs – Microsoft Word
Creating, editing, saving and printing documents

To open a blank document:

  • Click on File – New – Blank Document
To enter text in a document:
  • Type your text. You do not need to press enter at the end of each line as the text will wrap to the next line automatically

To save your document:

  • Click on File – Save OR click on the Save button on the Standard Toolbar
  • Click on the down arrow to select where you would like to save your document
  • In the File Name box, type a name for your document
  • Click on Save

Editing text
You can modify text by selecting the text you wish to edit and then typing your changes.

To add or delete text:

  • Place the cursor where you wish to add text and type your text
  • To delete text behind the cursor, press Backspace
  • To delete text in front of the cursor, press Delete

To move, delete, or modify a section of text such as a word or paragraph, you can select the text you wish to edit by clicking and dragging the mouse, or by clicking on Edit – Select All to select the text of the entire document.

Viewing your document
The View menu option allows you to view your document in Normal, Web Layout, and Print Layout. It can sometimes be difficult to get a sense of how your document actually looks as you work on it. To get a good idea of how your document looks as you type, set the View option to Print Layout and the Zoom option to Page Width.

Formatting text
The best way to learn about formatting text is to practice. Type the following text and press Enter where indicated to force the cursor to the next line.

You are invited [Enter]
to a Housewarming Party[Enter]
[Enter]
Where: 12345 Main Street, Anytown USA [Enter]
When: Saturday February 27, 2004 at 6pm[Enter]

To select the text of the first two lines:

  • Click with the left mouse button at the start of the first line
  • Drag the mouse down to highlight the second line

To center this text on the page:

  • Make sure that the first two lines are still selected (highlighted)
  • Click on the Center button on the Formatting Toolbar
To change this font face from Times New Roman to Arial:
  • Make sure that the first two lines are still selected (highlighted)
  • Click on the Font Face option in the Formatting Toolbar and click on Arial

To change this font style to Bold Italic:

  • Make sure that the first two lines are still selected (highlighted)
  • Click on the Font Face option and click on the Bold button and the Italic button

To change this font size to 16 point:

  • Make sure that the first two lines are still selected (highlighted)
  • Click on the Font Size option and click on 16

To change the line spacing of the entire document from single spacing to 1.5 spacing:

  • On the menu bar, click on Edit – Select All On the menu bar, click on Format – Paragraph
  • Click on the down arrow next to Line Spacing and click on 1.5 lines
  • Click on OK to apply the new formatting

It is extremely important to save your changes often! Every 10 minutes (or less) is a good idea.

To save your changes:

  • Click on File – Save OR click on the Save button on the Standard Toolbar

To set the margins:

  • Click on the Menu option File – Page Setup
  • In the Margins tab, click on the up-arrows in the box labeled Left until 2” appears
  • In the box labeled Right, click and drag the mouse to highlight 1.5” and then type 2”
  • Click on OK

To place a border around the page:
  • On the Menu option, click on Format – Borders and Shading
  • Click on the Page Border tab
  • Click on Setting: Box
  • Click on Art (near the bottom)
  • Click on a border you like
  • Click on Apply to: Whole Document
  • Click on OK

To insert a graphic (picture) at the end of the document:

  • Click near the bottom of the document
  • Click on Insert – Picture – Clip Art
  • Click on a Category
  • Click on the picture you want to use
  • Click on Insert Clip

To proportionally resize the graphic:

  • Click on the picture
  • Click on one of the little boxes (double-arrow resize handles) that appear
  • Hold down the Shift key
  • Drag the resize handle

To move the graphic:

  • Click on the picture and drag it somewhere else on the document
  • If your graphic is at the end of your document you will not be able to move it any lower. Try dragging it up in the document.

To print your document:

  • Click on File – Print menu option and click on OK or click on the Printer button on the Standard Toolbar
  • Click on OK
